FEDERAL WORK-STUDY POSITIONS

GENERAL

A student employee is a part-time employee who is currently enrolled in at least a half-time credit load (6 credit hours) at East Georgia College with the primary goal of achieving a degree. A student employee is considered a temporary employee and is not eligible for benefits. Student employees can perform many jobs within an office or department such as clerical support, computer lab assistant, library aide, tutors, etc.

All student workers must complete an "Application for Student Employment" and "new hire" employment paperwork, including hourly timesheets.

At the beginning of each semester, student employees must complete an updated "Application for Student Employment" and submit to HR with the appropriate signatures.

Administered through the Office of Financial Aid, the Federal Work-Study Program (FWS) is a federally funded financial aid program offered to students that have a demonstrated financial need. If a student qualifies for the Federal Work-Study Program, the Director of Financial Aid will provide approval for a department to hire the student as a FWS employee.

ELIGIBILITY

The Federal Work Study (FWS) program is a federally funded Title IV student financial aid program designed to provide work opportunities for students, enabling them to earn funds for meeting educational expenses. In addition, the program provides an opportunity for students to gain work experience in their areas of academic and non-academic interests. To qualify for the FWS program a student must meet the following minimum requirements:

  1. Be a citizen or eligible non-citizen of the United States.

  2. Demonstrate financial need.

  3. Must be pursuing an undergraduate/graduate/postgraduate degree on at least a half time enrollment status.

  4. Maintain satisfactory academic progress as defined by the Office of Student Financial Planning Services.

APPLICATION

Since the Federal Work Study award is based on need, the student must apply each academic/award year for financial aid with the Office of Financial Aid. Currently, this process includes the completion of the Free Application for Federal Student Aid (FAFSA) and a East Georgia College Application for Financial Aid and Scholarships. In order for a student to be considered for all available aid, it is imperative that these forms be completed by the priority deadline, March 1 for entering freshmen and May 1 for all other students.

DEPARTMENT EXPENSES

Once a student has been awarded and accepts FWS, the student is eligible to assume employment with any department on campus that has applied through the Office of Financial Aid to participate in the program. The only wage cost incurred is the department percentage of the federally provided funds. Currently, the FWS program provides 75% of the student's total earnings. The specific department in which the student works is required to pay the remaining 25%. Each department hiring a FWS student assistant must pay that student as if he/she was a regular employee. That is, the student will receive a paycheck, bi-weekly, similar to all other employees. Note: FWS student assistants cannot displace regular employees.

ALLOWABLE WORK HOURS

The eligible number of hours a FWS student can work during the semester is set by the EGC Financial Aid office. Students can never work more than 19 hours per week or 48% time. Supervisors are responsible for monitoring work activities and student abidance of employment policies and procedures. Note: changes in student enrollment status may affect employment.

TIME SHEETS

Timesheets must be verified and approved by the supervisor. Upon approval, the supervisor will sign the time sheet. If not properly completed and submitted in a timely manner, time sheets will be returned and/or held until the following payroll; processing may be delayed.
