How do I request a copy of my transcript? |
|
|
Complete the Transcript Request Form. You can find this on our website at: www.ega.edu/registrar/Forms/. You may also provide a handwritten request. Please include your SSN, name, complete name and address of where you would like it sent and your signature. You can mail this request to 131 College Circle, Swainsboro, Georgia 30401 or fax it to 478-289-2140. If you prefer, you can make the request via Banner Web with your user ID and PIN. |

Will you fax my transcript to my intended destination? |
|
|
Yes, we will fax your transcript as long as you designate on the "request" the number you would like it sent to. Since this is your "confidential" information, by making such a request, you are assuming responsibility that the information reaches its intended destination. Remember, a "faxed" copy is not considered "official." |

How do I request a copy of attendance verification information for my parent's insurance purposes? |
|
|
We call this an Enrollment Verification. Again, you can complete a form which you can pick up from the Swainsboro Office, Statesboro Center, from the website at www.ega.edu/registrar/Forms/, or you can send a written request including all information outlined above when requesting a copy of your transcript. You cannot make this request via Banner Web. |

This information is available by semester on our website by selecting the Calendars & News menu and clicking on the Academic Calendar link. |

How can I determine if I have a hold on my record and, if so, what kind it is? |
|
|
You can find this information by using your PIN and User ID, which was sent to you by Computer Services at the start of the semester via your Student Webmail account. Then use the Banner Web link on the EGC Home page to access your academic information. |

How can I give my parents access to my academic record? |
|
|
You must complete the Family Educational Rights & Privacy Act (FERPA) form, which is available by clicking on the Registrar's Office link and selecting the FORMS button. There you will find a menu of different forms including the FERPA. You must return the completed form to the Registrar's Office for processing. |

How do I withdraw from classes? |
|
|
You must complete a Withdrawal Form and return it to the Registrar's Office. You must do this by the Last Date to Withdraw date, which is published in the Schedule of Classes and on our website at www.ega.edu/registrar/Forms/. |

Can I withdraw from my Learning Support classes and keep my degree credit classes? |
|
|
No. If you wish to withdraw from a Learning Support class, you must withdraw from all your classes. |
|

Where would I find the course requirements for my degree/program of study? |
|
|
You could look at the catalog which you were given during the orientation program, pick one up from the Registrar's Office or look online at www.ega.edu/registrar/catalog/ to find an electronic version of the catalog. You will also find course descriptions there as well. |

What is a program of study? |
|
|
Since we are a two-year institution, we do not have "majors." Typically, a student will pursue coursework toward a major in their third or fourth year. At EGC, a student is completing the first and second year of a two-year degree. That means that they are completing the Core Requirements. The core, as it is more commonly called, consists of 60 hours of coursework, plus four to six hours of institutional requirements. The 60 hours are composed of Areas A to F. Area F consists of 18 hours of coursework tailored toward the major you intend to pursue at a four-year institution. |

What is considered "good standing" at East Georgia College? |
|
|
A student is considered to be in good standing as long as they are:
1. not on any form of exclusion from the
institution or |

What is a cumulative GPA? |
|
|
A cumulative GPA is based on the grades received in all degree credit coursework earned at EGC. |
|
|
How would I calculate my GPA? |
|
|
The GPA calculation is based on the number of credit hours attempted in degree credit work, divided by the number of grade points earned in those courses. You can find an example of a GPA calculation in the catalog at our website, www.ega.edu/registrar/catalog/. |

What are grade points? |
|
|
Grade points are the number of points earned for a given grade, see below:

Do grades earned at other institutions count in my cumulative GPA at EGC? |
|
|
No. Only the coursework attempted at EGC is calculated into your cumulative GPA. |
|
|
Do Learning Support courses count in my cumulative GPA? |
|
|
No. Learning support courses are considered institutional-credit-only courses and are not figured into your GPA. Regents' remedial courses are also considered institutional-credit courses. |
|
|
If I am not in Good Standing, what am I? |
|
|
There are two types of academic standing: academic and learning support. Academic is based on your GPA, and learning support is based on the number of attempts you have at a Learning Support area. |
|

I did not place into Learning Support, but do not have a 2.0 GPA. What is my academic standing? |
|
|
If you have from 0-17 degree credit hours, you are on Academic Warning. If you have more than 17 attempted hours of degree credit work, you are on Probation. |
|
|
What is Academic Warning? |
|
|
Academic warning is notification to you that you are experiencing some academic difficulties. You should seek assistance from your advisor and/or the Academic Resource Center in the Academic Building. |
|

What is Probation? |
|
|
Probation is a warning to that you that you are having some academic difficulty and should seek assistance. You can remain on probation indefinitely, as long as you maintain a term 2.0 GPA for each term of attendance after having been placed on probation. Any term you fail to do so, you are placed on Academic Exclusion for a year. |
|

A Learning Support standing was mentioned. What is that? |
|
|
At the time of admission, if you were required to take the COMPASS Test, you may have placed into one of three areas of Learning Support: Reading, English and/or Math. You are allowed three attempts to exit each area, regardless of what level of the course you place into. If you do not exit within the maximum of three attempts, you are placed on Learning Support Dismissal. |
|

What does it mean to be on Learning Support Dismissal? |
|
|

The Learning Support Dismissal standing is open-ended. That means, if you do nothing following being placed in this standing, you are excluded from returning to school indefinitely. You can, however, appeal for a fourth attempt in each Learning Support area. |
|
How do I appeal my Academic Exclusion or Learning Support Dismissal? |
|
|
You must send a written request to the Admissions and Records Appeals Committee asking for reinstatement to EGC. The committee will review your appeal prior to the start of the semester and notify you of their decision via the phone and in writing. |
|
|
What happens if I am granted a fourth attempt at a Learning Support area and fail to exit? |
|
|
You are placed on Learning Support Dismissal for three years. You will be unable to return to EGC for a period of three years. There is no appeal for this standing. |
|
|
While on any form of dismissal from EGC, can I attend another institution? |
|
|
Board of Regents policy prohibits a student from attending another University System Institution while on dismissal. Coursework taken at private institutions will not be accepted if taken during a period of exclusion from EGC. |
|
|
What is considered a "full load" of coursework for a semester? |
|
|
Twelve hours is considered a full load. However, a student should consider that to complete a two-year degree requires 64 to 66 hours of degree-credit coursework from EGC. If you choose to take only 12 hours a semester, it will take two-and-a-half years to complete those hours if you do not attend during the summer semester. |
|
|
How do I initiate the graduation process? |
|
|
You must complete, in coordination with your advisor, a graduation application. You can pick one up in the Registrar's Office or from our website at www.ega.edu/registrar/catalog/DegreeRequirements.htm. You need to complete and return this document to the Registrar's Office at least one semester prior to your intended term of graduation. |
|

Is there a required minimum Grade Point Average (GPA) necessary for graduation? |
|
|
Yes. The Registrar's Office will evaluate your graduation application and determine a "graduation" GPA for you, based on the courses used to fulfill requirements for the degree. You must have a minimum of a 2.0 GPA in the coursework. |

Is there a graduation fee? |
|
|
Yes. $25. |
|
|
Can I look at my student information online? |
|
|
Yes, via Banner Web. With your User ID and PIN, which you received your first term of attendance from Computer Services via your Student Webmail account, you can access online all your student information including: registration (if you have satisfied all Learning Support and CPC requirements and have earned 15 hours of degree credit), grades, transfer work, billing information, financial aid information, etc. |

Transient Student Procedures |
|
|
Can a new EGC student apply as a transient and register during early registration dates? |
|
|
Yes. The Registrar's Office role is to encourage early registration. |
|
|
If a student is coming to EGC as a Transient, where does he/she go to register for classes? |
|
|
Go to the Registrar's Office, which is located in the Student Center Complex on the Swainsboro Campus. Before you can be registered for classes, a staff member must verify that EGC received the Transient Permission Form from your home institution and verify if there are any stipulations about which subjects you are eligible to enroll in. |
|
|
What if I cannot travel to the Swainsboro Campus to register? |
|
|
We recognize that making the trip to our office could be a hardship if you live or work several miles away. You are still required to verify that we received your Transient Permission Form from your home institution. If we received it, you can fax your registration request to (478) 289-2140 with the specific course information from our Schedule of Classes and we will register you for the class, provided it is not closed. Do new transient students have to attend the orientation for new EGC students? |
|
|
Transient students are welcome to attend, but their attendance is not mandatory. Many important topics are covered that would benefit any student. |
|
|
Must a new student admitted to EGC as a transient student provide an official transcript from their home institution? |
|
|
No. Since they are not officially an EGC student, they do not plan to remain with our institution beyond the specific semester listed on the form. |
|
|
How do EGC students attend another institution as a transient? |
|
|
The student must complete our TRANSIENT PERMISSION FORM located on our website at: www.ega.edu/registrar/Forms/ and follow the instructions outlined in steps 1-3 on the form. Submit the form to the Registrar's Office for processing along with each course description from the transient institutions catalog (descriptions must come from their catalog as photocopies or print-outs from their on-line catalog). The EGC Registrar’s Office will verify courses listed either as equal or substitute for an EGC course. If the request is approved, the original is forwarded to the transient institution, a copy is mailed to the student, and the Registrar's Office will retain a copy at the Records Coordinator’s desk. If you expect to receive HOPE, you must contact the financial aid office at (478) 289-2009 and inform them of your plans to be a transient to another school. The EGC student must complete an admissions application for the transient institution and follow their registration process. EGC will forward a medical form if required by the transient institution at the request of the student. Students cannot take their final learning support attempt as a transient. The student must be eligible to return to East Georgia College (i.e. he/she cannot be on academic or learning support exclusion). A student, who has completed course work as a transient at another institution, must request an official transcript be sent to East Georgia College's Admissions Office. |

How does a former EGC student apply to attend EGC as a transient? |
|
|
The definition of a Former Student is someone who has not attended EGC for two or more consecutive semesters. If this is the case, then the student must complete and submit a Former Student Application to the Registrar's Office for processing. He or she must also request their home institution mail/fax the approved Transient Permission Form to the Registrar's Office prior to registering for classes. The Records Coordinator will update the student admit type. |

If an EGC student wants to attend another institution, what information must be verified on the EGC Transient Permission Form? |
|
|
Check the academic standing of the student at the end of the term to determine his/her eligibility. In some cases, we tell the transient institution that the transient approval is tentative; pending the End of Term processes, which will confirm the student's academic standing. If it is determined that the student had originally been given a good standing status, but their status changed to a learning support dismissal or a type of exclusion (one term or one year) at the end of the semester, then EGC will contact the transient institution and make them aware that the student's status has changed and that they are no longer eligible to register for classes. If the student is still in good standing, then no additional action needs to take place. |

Are Statesboro campus students permitted to apply as transients to GSU during the fall or spring semesters? |
|
|
Yes, but on a limited basis. The transient permission procedure for fall and spring semesters is handled through a different process. Contact the Director of the Statesboro site. |

Are Statesboro campus students permitted to apply as transients to GSU during the summer semester? |
|
